1. About these terms

These booking terms and conditions ("Terms") apply to any booking made for the Recover Rest Reset retreat ("the Retreat"), operated by Recover Rest Reset ("we", "us", "our"). By submitting a booking and paying a deposit, you ("you", "the guest") agree to these Terms.

2. The retreat

The Retreat is a 4-day, fully catered wellness retreat for women, held at a privately hired castle in the Scottish Highlands. The Retreat is currently scheduled to take place from 20–24 May 2027, subject to clause 5 below. Your room rate includes 4 nights' private ensuite accommodation, all meals (breakfast, lunch, supper and snacks), all advertised activities and workshops, a welcome goodie bag, and use of the castle grounds and hot tub. Travel to and from the venue is not included.

We do not publish a day-by-day schedule of activities in advance. The programme may include things such as creative workshops, movement and mindfulness sessions, and social time, alongside unstructured downtime, and is designed so that nothing is compulsory.

3. Making a booking

A booking is confirmed once you have submitted our booking form and paid the required deposit (or full balance, if booking within 3 months of the retreat date) via our secure Stripe checkout. You'll receive a confirmation email once both steps are complete.

It is your responsibility to check that all details submitted (including your name, contact details, dietary information and emergency contact) are accurate. Please let us know as soon as possible if anything changes after booking.

4. Prices and payment

Current prices for each room type are shown on our website and are per person for the full 4-day retreat, unless stated as a shared total.

If you book more than 3 months before the retreat date

A deposit of 40% of the full price is payable at the time of booking to secure your place. The remaining 60% balance will be charged automatically to the card used for your deposit, 3 months before the retreat date. We will email you in advance of this charge.

If you book within 3 months of the retreat date

Full payment is required at the time of booking.

If the balance payment fails

If your balance payment cannot be taken for any reason (for example, an expired card), we will contact you to arrange payment. If payment is not received within 7 days of our request, we reserve the right to treat your booking as cancelled in accordance with our cancellation policy below, and to release your room to another guest.

5. Cancellation, refunds and transfers

Cancellation by you

Deposits are non-refundable. However, your deposit (and any balance paid) is fully transferable to a future retreat date, subject to availability, provided you notify us in writing at least 28 days before your original retreat date. Only one transfer is permitted per booking.

If you cancel and do not wish to transfer, or notify us less than 28 days before the retreat date, no refund will be given for any amount paid, including the balance, as we will have committed to costs (catering, accommodation, activities) on your behalf.

Changes to retreat dates by us

While we always intend to run the Retreat on the advertised dates, there is a small possibility that the specific dates may need to change due to the nature of organising a retreat of this kind (for example, venue availability). If this happens, we will notify you of the new dates in writing as far in advance as is reasonably possible.

Where we change the dates, any deposit or balance you have already paid will automatically be transferred to the new dates at no extra cost, with no action required from you. If the new dates do not work for you, you may instead transfer to a future retreat date of your choosing, subject to availability, or request a full refund. A date change made by us does not count towards, or use up, the one transfer permitted to you under this section.

Cancellation or changes by us

In the unlikely event that we need to cancel the retreat (for example, if the venue becomes unavailable), we will offer you a full refund or a transfer to an alternative date, at your choice. We are not responsible for any other costs you may have incurred, such as travel, and we strongly recommend you take out appropriate travel insurance (see section 9).

We reserve the right to make reasonable changes to the programme of activities or workshops, or to substitute elements of the retreat with similar alternatives, where necessary.

Non-attendance or early departure

No refund or credit will be given if you do not attend the retreat, arrive late, or choose to leave early.

6. Your right to cancel (cooling-off period)

Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, consumers normally have a 14-day "cooling-off" period when buying services online. However, this right does not apply to bookings for accommodation, catering, or leisure activities to be provided on a specific date (Regulation 28(1)(b)). As our retreat is provided on specific, pre-arranged dates, the standard 14-day cancellation right does not apply to your booking. Instead, the cancellation, refund and transfer terms in section 5 above apply.

7. Dietary requirements, allergies and health

Please read carefully

Due to the nature of our fully catered kitchen, we are unable to accommodate guests with food allergies and cannot guarantee an allergen-free environment. We do cater for vegetarian, vegan and gluten-free diets where notified at the time of booking. If you have a food allergy, please contact us before booking to discuss whether the retreat is suitable for you. By booking, you confirm that you have read and understood this.

It is your responsibility to tell us about any medical conditions, mobility needs, or other health information that may be relevant to your participation in the retreat, so that we can make reasonable adjustments where possible and respond appropriately in an emergency. You participate in all activities at your own discretion and are responsible for assessing your own fitness to take part.

8. Your conduct during the retreat

The retreat is a shared experience for a small group of guests in a private home. We ask all guests to be respectful of one another, of the venue, and of the privacy of fellow guests. We reserve the right to ask a guest to leave the retreat without refund if their behaviour is seriously disruptive, unsafe, or causes damage to the property, at our reasonable discretion.

9. Travel and insurance

Travel to and from the venue is your responsibility and is not included in the retreat price. We strongly recommend that all guests take out comprehensive travel insurance covering cancellation, medical emergencies, and personal belongings, from the time of booking.

10. Our liability

We will provide the retreat with reasonable care and skill. We do not exclude or limit our liability for death or personal injury caused by our negligence, or for any other liability that cannot be excluded under UK law.

Subject to the above, we are not liable for any indirect or consequential losses, or for loss, theft or damage to personal belongings during the retreat, except where caused by our negligence. Nothing in these Terms affects your statutory rights as a consumer.

11. Photography

We may take photographs or video during the retreat for use in our marketing (such as our website and social media). If you would prefer not to be included in any photography, please let us know in advance and we will do our best to accommodate this.

12. Governing law

These Terms are governed by the laws of Scotland, and any disputes will be subject to the exclusive jurisdiction of the courts of Scotland.
